AI ops monitor

An AI agent that keeps your GTM data clean and your process honest

It checks every record against your fields, guidelines and processes, nudges the owner when something slips, and works with an analyst agent to show where your process, activity and ICP should change. We build it inside your org, so you own all of it.

An illustration with made-up data, not a client's.

What it watches

Three kinds of checks, written with you in plain language and run on every open record.

Fields

Updated, and right

  • Required fields filled for each stage
  • Values in the right format
  • Close dates and amounts that make sense
  • Duplicates and records with no owner
Guidelines

Followed the way you defined them

  • Your sales framework filled in before a stage moves
  • Lifecycle stages and lead status used as defined
  • Next steps that are real actions, not "follow up"
  • Handoff notes written before a deal goes to CS
Processes

Happening on time

  • Lead response times against your SLA
  • Deals quiet for longer than your limit
  • Renewal steps started on schedule
  • Approvals done before a discount goes out

Try it on a deal

A made-up deal is moving to Proposal. Switch its fields on and off and watch what the monitor does.

When something slips

It starts gently and escalates only as far as your rules say.

  1. Logs itEvery miss is recorded against the record and the rule.
  2. Nudges the ownerOne message in Slack or Teams, saying what to fix and where.
  3. Fixes the safe thingsFormatting and other fixes you approve up front, each one logged.
  4. Copies the managerOnly for the rules you mark as serious, or when a nudge is ignored.
  5. Reports weeklyWhat slipped, who fixed it, and which rules keep failing.

Then it learns from your data, with an analyst agent

Clean data is worth more than a tidy CRM. An analyst agent reads what the monitor keeps clean and brings findings to a person, who decides what changes.

  1. MonitorKeeps fields, guidelines and processes on track, every day
  2. Analyst agentReads activity, stage history and wins and losses for patterns
  3. Your ops leadReviews the findings and decides what to change
  4. MonitorPicks up the new rules and checks against them

Process

Deals stall longest between demo and proposal.

Suggests a mutual plan step at the demo stage.
Activity

Most rep touches go to accounts that rarely convert.

Suggests moving sequences toward the accounts that do.
ICP

Recent wins are smaller companies than your stated ICP.

Suggests an ICP review with sales leadership.

Guardrails

A monitor people ignore is worse than none. These keep it trusted.

  • Watch-only to startFor the first weeks it only reports, so the rules are tuned before it nudges anyone.
  • Writes only where you allowIt can change only the fields you list. Everything else is read-only.
  • Every change loggedWhat it changed, when and why, and every change can be reversed.
  • Nudges, not noiseMessages are batched and capped per person, so nobody tunes it out.
  • Findings go to a personThe analyst agent suggests. Your team decides what changes.
  • Never talks to customersIt works on your team and your data, never on anyone outside.

Built on your stack

Why not just validation rules?

AI ops monitorCRM validation rules

Keep the validation rules you have. The monitor catches what they cannot.

Part of something bigger

The monitor keeps the whole system honest

It works on its own, and it is the check that keeps an AI SDR or a full GTM Brain Build running on data you can trust.

Frequently Asked Questions

Will it change our CRM data on its own?

Only where you allow it. It starts in watch-only mode, then fixes just the things you approve up front, such as formatting. Every change is logged and can be reversed.

What does the analyst agent do?

It reads your existing data, such as activity, stage history and wins and losses, and looks for where process, rep activity or your ICP should change. It brings findings to a person. It does not change anything by itself.

Will reps get flooded with messages?

No. Nudges are batched and capped per person, and the rules are tuned during the watch-only weeks, so what reaches a rep is worth acting on.

Which CRMs does it work with?

HubSpot and Salesforce. It can also check the tools around them, such as your marketing automation or support desk, where they have an API.

Is this a product we subscribe to?

No. It is a service. We build it inside your org, in your CRM and in AI and automation accounts you own, and hand it over documented. You pay for your own usage, with no SpecSavi licence.
